The Event

The event took place for four days in a mountainous part of Austria. Known as the most challenging single-day motorsport event in the world, it presented unique event management and coordination challenges. With over 45,000 spectators and 1,500 riders tackling the grueling mountain course, ensuring safety, maintaining oversight, and coordinating multiple First Reponders Teams across vast, rugged terrain demanded an innovative solution.

Eyeson was called shortly before the event, presenting an excellent opportunity to demonstrate how Eyeson One View technology is used to deploy Virtual Situation Rooms within minutes, connecting drones, systems, event managers and responders

The Challenge

Infrastructure

  • Due to the remoteness, coping with a challenging infrastructure, including communication networks, is a big challenge. 
  • Ensuring reliable and clear communication despite challenging terrain and potential network issues, including limited bandwidth.

People

  • Survey 1,500 participants competing in one of the toughest races in the world, 45,000 spectators, and manage 800 Event staff, including 100 emergency personnel (mountain rescue and paramedics) and security.
  • Real-time monitoring of spectators and riders for their safety and comfort across a sprawling, hazardous, and large area.

Location

  • The location is remote and spread across mountainous terrain, covering more than 800 hectares at altitudes between 700 and 1450 meters.

Process

  • Integrate multiple source types for a complete picture of the situation(s).
  • Make information available to a widespread team of first responders for a rapid and efficient emergency response.
  • Connecting moving emergency personnel from various locations in Virtual Situation Rooms so the responders already know as much as possible when arriving at an incident.

Leveraging the power of Eyeson One View, the organizers very quickly created a state-of-the-art virtual command center that addressed these challenges head-on. Here is how the team approached the solution to the challenges.

Setup

Zero to Ready in No Time

  • 1 | Plug into the Communication Infrastructure

    We established connectivity through the organizer's pre-existing local network infrastructure, which operated concurrently with the primary power distribution system. As a contingency measure, we implemented a Starlink satellite communication system. Our mesh network architecture expedited the integration of unmanned aerial vehicles and closed-circuit television systems with our proprietary Ghost platform, ensuring robust and comprehensive network coverage.
  • 2 | Share Access to the Real-time Communication System

    Eyeson Oneview was very rapidly and successfully deployed, enabling field personnel to access the central command interface through their mobile devices. This implementation facilitated effective multiparty communication between on-site teams and headquarters. To optimize user onboarding, we disseminated secure access links, with many team members utilizing QR code technology for efficient distribution, thereby streamlining the connection process and improving overall system adoption.
  • 3 | Managing resilient connections despite challenging conditions

    Given the topographical challenges and potential network constraints of the remote location, we utilized Eyeson’s MCU+ (Multipoint Control Unit) and Smart Bandwidth technologies. The Eyeson MCU+ significantly reduces stream management complexity by merging all incoming channels into a single interactive stream. Meanwhile, the patented Smart Bandwidth technology ensures stable connectivity in areas with limited network infrastructure. Its advanced algorithm dynamically optimizes bitrate and framerate for each device and connection type, maintaining high-quality transmissions even over satellite links and guaranteeing reliable communication in challenging environments.

  • 4 | Build ad hoc Virtual Situation Rooms using Omnimedia Fusion

    We rapidly deployed a Virtual Situation Room (VSR) utilizing existing resources and infrastructure. This integrated solution consolidated multiple data streams, including real-time unmanned aerial vehicle footage, multi-participant video conferencing, meteorological information, sensor telemetry, and geospatial data. The aggregation of these diverse inputs was achieved through our Omnimedia Fusion platform, enabling instantaneous dissemination of critical information to mobile response units and event management personnel. Furthermore, this system facilitated seamless communication with incoming external first responders. The result was an agile, ad hoc Virtual Situation Room that demonstrated the capacity to adapt swiftly to evolving operational requirements.

Customizable Layouts for all VSRs

The central command center user interface was tailored to the specific needs of the event, with different layouts for emergency responders.

  • Fast customization of layouts

The Eyeson Layout API allows complete, rapid customization, allowing you to update the layout between two frames. We used that to update remotely while the race was on to accommodate an additional drone.

  • Fast instantiation of rooms

Since you already have a layout for an emergency, it is also very easy to create another VSR on the fly. A second step is to adapt to the situation in seconds, e.g., showing the rescue helicopter's landing zone or the access road's state.

connect Instant adoption From the moment we started, the adoption process has been instantaneous. The simple fact that you could send a link to a phone or scan a QR code from the web application, and no downloads or installation were necessary, sped up the process.  
realtime Real-time Synchronization Teams across the area, even in distant corners, had simple access to the same up-to-the-second information, thanks to real-time synchronization of all data streams. This was crucial for coordinating rapid responses to incidents at the event location.  
rocket Centralized Transcoding The centralized transcoding in the MCU+ ensured that the synchronization process was efficient, keeping the load and energy consumption low for primarily mobile and battery-operated devices.  
speaker Situation Awareness Event staff achieved unprecedented situational awareness by accessing multiple information streams in a Virtual Situation Room, distributed via a single interactive and resilient Omnimedia stream over the Wireless/SAT network, ensuring all team members were well-informed before arriving on-site.  
management Improved Coordination The unified command center streamlined communication between teams with a cloud-based solution. An on-premise version of the system with satellite connectivity was kept as an emergency backup. At each point, the involved responders and event managers quickly synced and resolved problems.
